Terms
These are the terms for using Trovu. We've written them to be read. Trovu is run by Xpdient C.I.C., a community interest company registered in England and Wales, company number 09962150. By subscribing, your organisation agrees to them with us.
Last changed: 30 October 2026.
What do I get?
Trovu helps you find grants that are open and keep track of them: the Grant Finder, your shortlist, budgets, reports and alerts. Your plan covers your whole organisation, however many people use it.
Can I rely on the grant information?
It's a starting point, not a promise. We read funders' websites and public records every day and use AI to help find and rank grants, so it can be wrong or out of date. Always check with the funder before you apply. We don't promise that any grant is available, or that you'll win funding.
How do I pay?
By card through Stripe, monthly or yearly, at the price shown when you subscribe. Your plan renews automatically until you cancel or pause it, and we email you before each payment. If we change our prices, we'll give you at least 30 days' notice, and you can leave before the new price applies.
What if a payment fails?
We'll email you, and Stripe tries again a few times. You keep your access while it does. If the payment never goes through, your plan ends and your records are kept as described below.
Can I pause?
Yes, on a monthly plan. Fundraise in bursts if that's how you work. You keep everything until the month you've paid for ends, then payments stop, along with searching, alerts and reminders. Restart whenever you like: we'll take a month's payment that day, and everything will be as you left it. We'll never restart it without you asking.
What happens if I cancel?
Payments stop, and you keep everything until the end of the period you've paid for. We don't refund the unused part of a period.
Can I get a refund?
- Yearly plans: a full refund if you ask within 14 days of first subscribing (once per organisation), or within 14 days of a yearly renewal.
- Monthly plans: no refunds, because you can pause or cancel at any time.
- If we end the service, or it's seriously broken and we can't fix it, we'll refund the time you've paid for and can't use.
To ask, write to hello@trovu.uk. If you're buying as a consumer rather than for an organisation, you have legal rights these terms don't take away.
What happens to my records if I stop?
They stay safe for 2 years. You can still sign in to download them, and if you come back, everything will be as you left it. We'll email you before we delete anything. If you'd rather we deleted them sooner, you can do that yourself at any time, and you have 30 days to change your mind. We keep invoices and payment records for 6 years, because the law requires it.
I'm a consultant. What about my clients?
Your plan covers up to your limit of clients at any one time, and your work for each is kept apart. If you lose a client, move them to Past clients: this frees up the slot and keeps their records safe. Bring them back at any time, or delete them when you choose, and we'll ask you once a year whether you still need them. You look after those records, but the charity can see them too: when you add a client, you name someone there, who can see and download your records for it, including your notes, for as long as they're kept and even after you stop working together. If you delete a past client's records, we tell them first and they have 30 days to take a copy. If a client takes its own Trovu plan, your work and theirs stay separate, though it can import its copy; they can add you to their plan for free. If your whole plan ends, everything including past clients is kept for 2 years, as above.
What if a council sponsors us?
If your council or CVS approves your application, it pays for your plan, and everything here applies as if you'd subscribed, except that there's nothing for you to pay. The council sees your application and that you have a place. Because it pays for that place and answers for how the money's spent, it also sees how you use it: when you last used Trovu, how many grants you've shortlisted, how many applications are at each stage, and how much you've asked for and won. It doesn't see which grants or funders they are, or your notes. When its sponsorship ends, your records are kept as described above, and you can subscribe yourselves. If you were already paying us, your payments stop at the end of the period you've paid for, and we don't refund them.
Whose data is it?
Your records are yours, and you can download them at any time. We only use them to run Trovu for you. Grants or funders you tell us about become part of Trovu, so that everyone can find them.
What mustn't I do?
- Share your subscription key outside your organisation, or resell what you get from Trovu.
- Copy Trovu in bulk, or go well beyond your plan's daily limit.
- Game Trovu credit, for example by making up grants. See how Trovu credit works.
If you do, we may end your plan without a refund and stop you joining again.
What if something goes wrong?
We'll try hard to keep Trovu running and correct, but we can't promise it'll always be available or error-free. If we're responsible for a loss, the most we'll pay is what you paid us in the 12 months before it happened, and we aren't responsible for lost funding or lost opportunities. Nothing here limits anything the law says can't be limited, such as liability for fraud.
Can these terms change?
Yes. For anything important, we'll email you at least 30 days before, and you can leave before it applies.
Anything else?
These terms are under the law of England and Wales, and its courts deal with any dispute. Talk to us first, though: hello@trovu.uk.
