What we do with information about you. Xpdient C.I.C., which runs Trovu, is responsible for it. Write to hello@trovu.uk about anything here.
Last changed: 30 October 2026.
What do you hold?
- Your name and email address, and your organisation's details, so you can sign in and we can reach you.
- What you put into Trovu: your shortlist, records, notes, budgets and searches.
- A log of changes to your records: who made each one and when. Everyone on your plan sees recent changes, and your plan's Admins can see the whole log. It's kept and deleted with your records.
- Payment records. Stripe holds your card details; we never see them.
- How much you use Trovu, to keep it running and apply fair use limits.
- If you contact us: your name, email address, organisation and message, so we can reply and keep a record of it.
Why?
To provide what you've subscribed to (our contract with you), to keep Trovu secure and improve it (our legitimate interests), and to keep the financial records the law requires. We don't sell your information or use it for advertising.
Who else sees it?
- Stripe, which takes payments.
- A client charity, if you're a consultant: the people you name there can see your records for it, including your notes.
- Your council or CVS, if you apply to it for a sponsored plan: what you put on the application and, once you have a place, how you use it (when you last used Trovu, how many grants you've shortlisted, how many applications are at each stage, and how much you've asked for and won). It doesn't see which grants or funders they are, or your notes.
- Our hosting and email providers, which run the site and send its emails.
- Anthropic, whose AI helps match grants to what you search for and the description of your charity. Don't put personal details about people into searches.
- Claude or ChatGPT, only if you connect them to Trovu yourself.
Some of these may process information outside the UK, under the safeguards the law requires.
People in my records
If you put details of other people into Trovu, such as a funder's contact, your organisation is responsible for them and we look after them on your behalf, only as you instruct by using Trovu. These terms are our instructions, including deleting them as described below.
How long do you keep it?
- While your plan runs: for as long as you want it.
- After a plan ends or is paused: 2 years, then deleted, with emails first. You can delete it sooner.
- Invoices and payment records: 6 years.
- Organisations barred for gaming Trovu credit: only what we need to keep the ban.
Deleted information leaves our backups as they expire.
What are my rights?
You can ask to see, correct, delete or move your information, or object to how we use it. Write to hello@trovu.uk. If you're unhappy with how we've handled it, you can complain to the Information Commissioner's Office at ico.org.uk.
